KAR May Executive Board Minutes


Congratulations to Giti on completing her first Boston Marathon! (General Board Discussion)
KAR/BCRR Honored @ 2007 RRCA National Convention (Bonnie)  
• We received an award at their national convention last year concerning the Rundown.
VP Hospitality Position - Phyllis Florian (Intent/Board Motion)
• Welcome Phyllis.
• Phyllis looks forward to helping the club out with social events.
• Phyllis is interested in promoting the club for the non-competitive social runner.
• Phyllis is approved as VP Hospitality.
Website Update (Phil)
• Phil is absent
KAR/BCRR Logo Update (Phil) 
Income Statement (Cristi)
• Cristi presented the monthly report.
• More budget discussion in June.
Expense Reporting Form (Cristi)
• Add a line for signature from requestor.
• Another line for approval from one of the board members.
• Date of request and date of payment.
• Cristi would like to make the form e-mailable.
Klassic Update (Julie)
• A new representative from MRC. Another new rep from Gazelle.
• Pledges and sponsor recruitment is going well.
• The Klassic is being run the same day as Battle Creek’s Cereal run
• Postcards have been sent out.
• RRCA is making the Klassic the regional championship for the 10K.

Membership Renewals via Active.com Update (Julie)
• Julie is expecting a return call from active.com concerning club sign up via online.
New Membership Application (Julie) 
• Julie wants to delete a little redundancy found on the application.
• Add a two year membership option.
• The new form will just be labeled as KAR.
• BCRR will be recognized as a sub-group under KAR.
Safari Update (Vicky)
• Vicky passed out a Safari schedule.
• May 28 is a kick off meeting.
• KAR email system will be used for communications. It should be a KAR board member that sends the emails.
• A biker will monitor the runners.
• Water dates: July 12, Aug 23, Sept 27, Oct 4 are dates that KAR needs to provide water. Volunteers will be needed.
Turkey Trot Community Benefactors Update (Vicky and Bonnie)
• The Red Cross was contacted. They were not that enthusiastic.
• Bonnie emailed Diane Strock at PCOC and they were excited about this. They presented a list of items that would help.
• The board favors PCOC and the Gospel Mission.
• Kalamazoo Gospel Mission would be excited to be involved.
• Socks go to the Gospel Mission and personal care and toys to PCOC.
YMCA Healthy Kids Run Update (Bonnie & Cristi)
• Meeting on Wednesday.
• Everything is a go for the event.
Guest Speaker for 2009 Banquet Available March 3, 10, 17 (Bonnie)
• WMU President, John Dunn has accepted the invitation.
• Target March 10 for the annual.

KAR/BCRR Contact List (Bonnie)
• Julie would like to take out the phone numbers and addresses should the list be posted on the website. Email is OK.
RRCA Resources and Partnership (Bonnie)
• Bonnie is going to look into what RRCA can offer us beyond what we have been getting.
Email Protocol (Bonnie)
• Respond to email by replying to all.
MPI Health Fair (Bonnie)
• A good place to promote KAR.
KAR/BCRR Promotional Items (General Board Discussion)
• Once we finalize our logo there are many items that can be bought cheaply and given away at events like the cinco.
• The company offers duffle bags with a logo. The money to be spent is in line with what has been spent in promotion before.
• Julie is concerned about ending the year spending beyond our income.
New Discount Sponsor - Universal Products (Bonnie)
• They sell nutritional supplements.
• The company is offering a discount to KAR members.
• Their participation is welcome.
Try to itemize the social events financially without being too over critical of each dollar.
